Writing is a job; Preparing the article for publication is a completely different task. Once a text is written, it goes through many revisions: first the major structure (proofreading), then the sentence-level language (copyediting), and finally the letter-level errors (proofreading/proofreading). Artificial intelligence (AI) is an extremely powerful aid, especially in technical work at the sentence and letter level: it tirelessly scans grammar, spelling, punctuation, consistency and style guide compliance. But it is the editor's job to evaluate each correction on its justification and to reject suggestions that distort the meaning. In this unit, we will cover how to use AI as an editing partner, its limitations and pitfalls.

Redaction layers

It is important to divide editing into layers because AI has different reliability in each layer:

Developmental editing deals with the larger structure: is the argument strong, are the chapters in the right order, is the character arc working? Here AI is just a second set of eyes and a source of suggestions; decisions depend entirely on the author's vision.

Copyediting is at the sentence level: grammar, spelling, punctuation, sentence fluency, terminology consistency, style guide compliance. AI is most powerful here but should be used most carefully; because it can shift the meaning for the sake of fluency.

Proofreading, final scanning just before publication: letter errors, double spaces, inconsistent spellings. AI is reliable and fast here.

Copy editing: ask for justification

Telling the AI to "fix this text" is the weakest usage; It gives you a silently changed text and you don't know what it changed and why. The much more powerful method is to have each fix listed with its rationale. So you accept or reject each suggestion individually; You stay in control and learning.

This method turns the AI ​​from a “silent writer” to a “reasoned advisor.” You read the table and decide on each line: "this is true, accept"; "this distorts the meaning, rejection"; "This is my conscious choice, rejection".

Tip: Always request corrections in a “change and show” format (track changes logic), not in a “change and commit” format. Any fix where you don't see what's changed is a decision out of your control.

Style guide and consistency

A style guide is a publication's own spelling rules: whether numbers are in numerals or words, which term in which format, the type of quotation marks, the capitalization rule in titles. Applying these rules consistently in a long text is tiring for humans but easy for AI. Explicitly giving the AI ​​the rules of the guide and having it check the text against those rules significantly increases consistency.

Context: Rules of my style guide:- Numbers from one to ten in words, followed by numbers.- "AI" in lower case, abbreviated as "AI".- En dash (—) is not used, hyphen (-) is preferred.- Quotation marks: "..." format. Task: CHECK the following text according to these rules. Rule VIOLATIONS[location] | [available] | List it with the table [conforming to the guide]. Leave the decision to me; change meaning.

A separate check for terminology consistency is also useful: "Is the same concept written differently in this text (e.g. e-mail / e-mail / email)?" AI catches these in a single scan.

Preserving meaning and sound

The biggest risk in copy editing is corrections that are grammatically correct but semantically incorrect. AI sometimes shifts emphasis for the sake of a “smoother” sentence, deletes a nuance, or distorts a conscious repetition by the author as an “error.” For example, when a writer says "came, saw, went" for the rhythm, the AI ​​can correct this to "came, saw and went" and kill the rhythm.

So the editor's golden rule: even if the grammar is correct, meaning and sound must be preserved. Test each suggestion with two questions: (1) Has the meaning changed? (2) Has the author's voice weakened? If either is "yes", the suggestion is rejected despite correct grammar.

Attention: AI may mistake conscious "irregularities" (elliptical sentences, inverted structure, repetition, slang) in a literary text as errors and "correct" them. These corrections kill the spirit of the text. In creative texts, instruct the AI ​​to “don't touch stylistic choices, just point out obvious errors.”

Layered order of correction

Experienced editors don't proofread text in a single pass; Each pass focuses on a single question. This "layered reading" both misses fewer errors and increases control when working with AI. The suggested order is: structure and flow first (chapter order, logic), then paragraph and transitions (idea connections), then sentence level (grammar, fluency), last letter level (spelling, spacing, coherence). Giving the AI ​​a separate, narrow task for each pass is much safer than saying "fix everything" all at once; because the narrow task does not distract the AI ​​and allows you to approve each layer separately.

For example, to control only transitions:

Task: Evaluate ONLY the transitions between paragraphs in the text below. Is there a jump from one idea to another, is there a break in logic? Mark weak transitions and suggest a bridge sentence; Don't touch anything else.

Tip: Don't request both content and sentence level proofreading in the same AI session. Complex tasks cause the AI ​​to skip some layers; Make a separate request for each layer and confirm each separately.

three mini cases

Case 1 — Reasoned correction. An editor was spending 2 hours manually proofreading a 20-page report. had AI audit it in a justified table format; Of the 47 suggestions, 39 were accepted and 8 (those that distorted the meaning) were rejected. The time was reduced to 40 minutes and he made every decision himself.

Case 2 — Meaning shift. An author's sentence "This decision affects only the market, not the economy" was 'fluidized' by AI as "This decision affects the economy and the market" and reversed the meaning. The author caught this in the justification table and rejected it. Lesson: if there was a silent fix this bug would be published.

Case 3 — Consistency gain. One journal was experiencing terminology chaos (“internet/Internet”, “e-mail/e-mail”) with 15 authors. They gave AI the style guide and had it proofread all the text; Dozens of inconsistencies appeared in a single list, and the team fixed them all in one session.

The difference: there is control, there is justification, the meaning and voice are preserved, the decision is with the editor.

Common mistakes

  • It means "fix and deliver". If you don't see what's changing, you lose control.
  • Accepting every suggestion wholesale. There may be suggestions that distort the meaning and kill the sound.
  • Expecting consistency without giving a style guide. If there are no rules, AI applies its own assumption.
  • Not preserving stylistic preferences in creative text. If conscious irregularities are "corrected" the soul dies.
  • Delegating content editing to AI. Major structure and argument decisions belong to the author's vision.

In summary

In proofreading, AI is a tireless, fast and powerful proofreading partner at the sentence and letter level; It is especially valuable in grammar, consistency and style guide compliance.
