The most tiring task a teacher faces at the end of the term is writing a progress report for each child. The report is a document that explains to the parent, in an understandable, constructive and respectful language, where the child is in the developmental areas throughout the period, his strengths and the points that need support. Writing detailed, separate reports for 20 children individually could take days; Moreover, every sentence must be both true and non-offensive. There is also a portfolio: a developmental file in which the works (paintings, studies, photographs) and observations produced by the child throughout the period are collected. In this unit, we will learn to use AI in setting up the report language and editing the portfolio. The boundary is clear: the content of the report comes from your observations and the evaluation is the teacher's; AI simply translates the concrete observations you input into a comprehensible, constructive report language.
Principles of a good progress report
Good reporting is based on several principles. It is concrete: instead of empty adjectives such as "advanced", it is based on observations such as "he can cut straight lines with scissors, but he still has difficulty cutting angular shapes". It is balanced: includes both strengths and areas for development; It is not just negative or just fancy positive. It is constructive: it describes the deficiency not as a flaw, but as the next step ("supportable", "we will work on it next term"). He is respectful: he does not label the child or blame the family. It is understandable: instead of professional jargon, it uses simple language that the parent can understand.
Where AI helps these principles the most is with language and tone. You give the concrete observation; AI puts it in a tone where the parent will be both informed and not offended when reading it. But the AI cannot produce the content — because it has not seen the child. If you tell AI to “write a good report” it comes up with a blank one-size-fits-all text that has nothing to do with reality; This is an injustice to that child.
Attention: Do not get carried away by the beautiful sentences produced by the AI and write down a skill that you have not observed in the report. Each sentence should be based on a factual observation in your notebook. The report is not a literary text, but a development document.
Step by step: from observation to report
- Collect concrete observations. Put the (anonymous) observations you made for that child throughout the period according to their developmental areas.
- Give input by field. Give the AI 2-3 concrete observation sentences for each area of development.
- Put it into report language. Ask the AI to translate these into parent-friendly, balanced, constructive language.
- Tone control. Make sure the text is neither accusatory nor too flowery that obscures the truth.
- Add the ID manually. Add the name and personal phrases on your own computer; It didn't get into AI.
- Teacher approval. Confirm and sign that each sentence matches the actual observation.
Not "sandwich" but real balance
There's a frequently taught rule of thumb in report writing: put the negative between two positives ("sandwich method"). This is a well-intentioned but shallow formula; Parents notice the pattern over time and underestimate the real deficiency sandwiched in or, on the contrary, end each positive sentence with the question "I wonder what's behind it?" he reads. True balance is not a formula, but honesty: write sincerely about the child's real strengths, and state clearly but constructively the aspects that need support. If you tell AI "don't build an artificial sandwich; write down the strengths and areas to improve honestly, balancedly and constructively", you will avoid the formula and get a real picture of development. Remember: the parent reads the report to get to know his/her child, not to test you; An honest and respectful text establishes the foundation of trust for all future cooperation. Every sentence in a report is the seed of an agenda that you will work on in the next period.
portfolio layout
The portfolio is the arrangement of the material accumulated throughout the period in a way that shows the development. YZ helps you establish a content structure for the portfolio ("beginning-middle-end examples", "sections according to development area", "a brief development summary for each section") and writing short explanation sentences for each section that the parent will understand. Without uploading the photos or the child's work to the AI, you can describe what they look like and get a description text.
three mini cases
Case 1 — From days to hours. A teacher spent three days writing the term reports of 22 children by hand. He changed the method: he anonymously gave the AI his concrete observations, divided into areas of development for each child, and had it translated into report language, then added names and personal touches. The duration decreased from three days to approximately six hours; Most importantly, the language of the reports became more consistent and constructive. The content was always the teacher's observation; AI just built the language.
Case 2 — Softening the hurtful sentence. One teacher's raw note was "the child cries often and cannot make friends." Writing this directly would hurt the parent. Common mistakes
- Printing a report without observation. Text without content is unfair to that child.
- Writing what you don't observe. The fancy sentence of AI should not exceed the truth.
- Just being negative or just fancy. The report should be balanced.
- Using labels. Labels such as "hyperactive" or "shy" are not included in the report.
- Giving child data to AI. Names and private information are never included; then added manually.
Tip: Before writing the report, divide that child's observations accumulated throughout the period into developmental areas. This preliminary layout (see Unit 4) both speeds up the report work and ensures that each sentence is based on a factual observation.
